Uploading and Analyzing Files

Upload documents to ISMS Copilot for analysis, review, and compliance guidance. The AI can analyze policies, risk assessments, audit reports, and other compliance documents.

Quick Reference

Supported file types: PDF, DOC, DOCX, XLS, XLSX, CSV, JSON, TXT

Size limits: 5 MB for PDF and Office files (DOC, DOCX, XLS, XLSX); 10 MB for text-based files (TXT, CSV, JSON)

Upload limit: One file per message

What Happens After You Upload

  1. Attach — Click the paperclip icon or drag and drop your file

  2. Wait for green — The file shows a blue box while uploading, then turns green when ready

  3. Send your question — Type your prompt and press Enter or click Send

  4. AI processes the file — Content is extracted, analyzed, and used to generate file-specific guidance

You can remove the file before sending by clicking the X button on the green box. Once you send the message, the file cannot be removed.

Common Upload Errors

How to Upload a File

Method 1: Click to Upload

  1. Click the paperclip icon (📎) in the chat input area

  2. Your computer's file browser opens

  3. Select the file you want to upload

  4. Click Open

Method 2: Drag and Drop

  1. Open your file manager or locate the file on your desktop

  2. Drag the file over the ISMS Copilot window

  3. A drop zone appears with the message: "Drop your file anywhere"

  4. Release the file to upload

You can drag and drop anywhere on the page—you don't need to target a specific area.

Upload States Explained

Uploading (Blue Box):

  • Upload icon (animated)

  • Filename and file size

  • Progress bar showing upload progress

Ready (Green Box):

  • File icon

  • Filename and file size

  • X button to remove the file before sending

When the file box turns green, it's ready to send with your message. Type your question and press Enter.

Sending Your Message

  1. Upload your file and wait for the green box

  2. Type your question about the file

  3. Click Send or press Enter

Example: Upload your information security policy and ask: "Review this policy for ISO 27001 compliance gaps"

One file per message. If you need to analyze multiple files, send them in separate messages within the same conversation.

Monthly Upload Quotas

Your plan includes a monthly upload quota:

  • Free: 5 files per month

  • Plus: 50 files per month

  • Standard: 150 files per month

  • Pro: 300 files per month

  • Business: 500 files per month

Only completed uploads count. Failed or cancelled uploads don't consume your quota.

Your quota resets on the 1st of each calendar month at 00:00 UTC. Hover over the paperclip icon to see remaining uploads.

Common Use Cases

Policy Review

Upload your current security policy and ask:

  • "Review this policy for ISO 27001 compliance"

  • "Suggest improvements to our access control policy"

  • "Is this policy compliant with SOC 2?"

Gap Analysis

Upload your risk assessment or compliance checklist:

  • "Perform a gap analysis against ISO 27001 Annex A controls"

  • "What GDPR requirements are missing from this assessment?"

Audit Preparation

Upload audit reports or evidence documents:

  • "Help me prepare supporting evidence for these audit findings"

  • "Review this control evidence for SOC 2 compliance"

Document Improvement

Upload existing procedures or policies:

  • "Improve the clarity and completeness of this procedure"

  • "Suggest additions to this incident response procedure"

Tips for Best Results

  • Be specific — Instead of "Review this," say "Review this policy for GDPR Article 32 compliance and suggest improvements"

  • Use searchable PDFs — Scanned or image-based PDFs may not be readable

  • Provide context — Mention your industry, company size, and compliance needs

  • Ask follow-ups — Iterate on the analysis with clarifying questions

Troubleshooting

Upload Fails or Times Out

  • Check file size against the limits (5 MB for PDF/Office, 10 MB for text formats)

  • Verify the file type is supported

  • Ensure stable internet connection

  • Try refreshing the page

Analysis Misses Key Points

  • Provide more specific direction ("Focus on Section 3.2 regarding privileged access")

  • Upload a higher-quality source (original DOCX vs. scanned PDF)

  • Break multi-topic documents into separate uploads

Response Takes Too Long

  • Large files (15+ pages) may take 30-60 seconds

  • Complex spreadsheets with many tabs can delay response

  • Scanned PDFs process slower than text-based PDFs

Privacy and Security

  • Your files are private — Only you can see files you upload

  • Encrypted storage — Files are stored securely with end-to-end encryption

  • EU data residency — Files stored in Frankfurt data centers

  • No AI training — Your files are never used to train models

  • Data control — You control retention through account settings
